PhD Thesis Countdown

Year before submission
  • Candidate and supervisor organise a public presentation of research findings at the School and subsequently to a peer reviewed conference as appropriate.
  • Consult the PhD Handbook for details of thesis format and order of contents.

3 months before submission

 

Candidate:

  • In consultation with supervisor, submit an 80-word summary of the thesis argument via the online "Intention to submit" form accessible from http://www.gradstudies.unimelb.edu.au/pgstudy/phd/handbk/hdbk_g.html#intention (copy to Admin for student file).
  • You may name individuals whom you do not wish to be appointed as examiners. The names and reasons should be set out in a letter to the Chair of Examiners (copy to Admin).
  • SGS will send you a "Submission of PhD Thesis:  Statement by Candidate, Supervisor and Chairperson of Examiners" form and a "Confidentiality and copyright of thesis" form, which are to be handed in with the thesis.

Supervisor:

  • Consult with the School Research Committee about potential examiners (normally one international and one interstate) and contact them informally to see if they can mark the thesis on time.
  • SGS sends you a “Nomination of Examiners” form. Nominations are to be approved by the Chair of Examiners and the form returned to Admin (copy for student file) for forwarding to SGS.

2 months before expected completion date

  • SGS sends the candidate a "Completion Report", due on the expected completion date (sample at http://www.gradstudies.unimelb.edu.au/pgstudy/forms/rpt_completion.pdf). Completed report given to Admin (copy for student file) for forwarding to SGS.
  • If an extension is needed, candidate and supervisor fill in the appropriate section of the "Completion Report".
2 weeks before submission If more than 3 months elapses between the "Intention to submit / 80-word summary" and handing in the thesis, the candidate should notify SGS two weeks before submitting the thesis so that examination of it will not be delayed. This can be done via email to sgsexams@viking.sgs.unimelb.edu.au
Submission day

Candidate brings three thermally-bound copies of the thesis to Admin, along with two completed forms:

  • "Submission of PhD Thesis: Statement by Candidate, Supervisor and Chairperson of Examiners"
  • "Confidentiality and copyright of thesis"

Admin puts a copy of the forms in the student's file and forwards them with the thesis to SGS.

Thesis under examination

Thesis finalized

Candidate has copies of the final thesis permanently bound (at least one copy on acid-free paper):

  • A list of bookbinders can be obtained from the School of Graduate Studies or UMPA.
  • PhD theses in Physiotherapy are bound in black.
  • The name of the thesis (abbreviated if necessary), the name of the author, the degree and the year of submission should be printed in gold on the spine of the thesis.

Candidate provides Admin with:

  • Two permanently bound copies of the thesis, one (on acid-free paper) for the University Library and one for the School Library. Normally, supervisors also receive a copy.
  • A memorandum from the Chairperson of Examiners stating that all corrections, additions and amendments specified by the examiners (if any) have been completed (copy to student file).
  • A citation in electronic form - a 50-word summary of candidate's research to be read out at the graduation ceremony (copy to student file).

Admin forwards these to SGS, which sends the candidate:

  • A pass letter
  • Copies of examiners reports
  • Information about graduation and an application to graduate.
Publish thesis

You are encouraged to publish your thesis electronically to bring it to the attention of the international research community. Options include

University of Melbourne ePrints Repository
- a free service with wide international links.

Australian Digital Theses (ADT)
- distributed database of digital versions of theses produced at cooperating institutions in Australia.

UMI Dissertation Services
- publishes theses and sells copies in electronic, microform and print formats.

Graduation The Faculty of Medicine, Dentistry and Health Sciences Graduation Ceremony is usually held on the first Saturday in December. The School prefers that its students graduate at this ceremony.
